Terms of Use of the PolyMatch Platform (Regulamin)
Version 1.0 — effective November 3, 2026
Version 1.0 — effective from 3 November 2026. The English and Polish versions of this document are binding; in case of discrepancy between them, the English version prevails. Other languages are translations provided for information only.
Article 1 — Provider and scope
1.1 The PolyMatch platform, available at polymatch.eu and its subdomains (the "Platform"), is operated by [First name SURNAME], a sole trader registered in the Polish Central Register of Business Activity (CEIDG) under the name [PolyMatch First name SURNAME], [registered address], Poland, NIP [NIP], REGON [REGON], e-mail contact@polymatch.eu ("PolyMatch", "we").
1.2 This document is the terms of service (regulamin) within the meaning of Article 8 of the Polish Act of 18 July 2002 on the provision of services by electronic means. It sets out the types and scope of the services, the conditions of their provision, the conditions for concluding and terminating the contract, and the complaints procedure.
1.3 It is made available free of charge, before the contract is concluded and at any time afterwards, in a form that allows it to be consulted, downloaded and stored. Its acceptance at account creation is recorded with its version, date and language.
1.4 The Platform is reserved for professionals: companies and other entities acting in the course of their business. It is not intended for consumers.
1.5 The contract consists of these Terms, the Price List, the Privacy Policy and the Data Processing Agreement (Annex 1). In case of conflict, these Terms prevail, then the Price List.
Article 2 — Definitions
- Company: the legal entity or sole trader in whose name a company account is created on the Platform.
- User: the natural person who uses the Platform on behalf of a Company, with a personal account.
- Administrator: the User authorised to manage the company account (members, entities, sites, documents, subscription).

- Buyer: the Company looking for a recycled material, either as a Converter (it processes the material itself at its own sites: injection moulding, extrusion, blow moulding, thermoforming, compounding, etc.) or as a Brand Owner (a brand or manufacturer that has the material processed on its own behalf by subcontractors it designates).
- Grade: a material of a Supplier, described by its technical data sheet and by its standardised properties on the Platform.
- Technical Data Sheet: the document (TDS) describing a Grade, uploaded or published by the Supplier.
- Project: the need described by a Buyer (application, process, technical requirements, volumes, delivery locations).
- Results: the ranked list of anonymised Grades proposed to the Buyer for a Project.
- Lead: the contact request that a Buyer sends to a Supplier for one or more Grades, without revealing its identity.

- Match: an unlocked Lead.
- Credits: the prepaid or free units used to pay for certain services of the Platform.
- Offer: the commercial or sample proposal that a Supplier sends to a Buyer through the Platform.
- Content: everything a User uploads or enters on the Platform: technical data sheets, photos, certificates, documents, Projects, messages, Offers, company data.
- Price List: the "Pricing" page of the Platform, which sets the prices, subscriptions, packs, the cost of Leads and the included quantities.
Article 3 — Nature of the services and role of PolyMatch
3.1 PolyMatch is a matchmaking service between Suppliers and Buyers. PolyMatch is not a party to any contract of sale, sampling, transport or otherwise concluded between them. PolyMatch does not sell, buy, store or transport any material, and acts neither as a trader, nor as an agent, nor as a broker.
3.2 The services of the Platform are:
- the automated analysis of technical data sheets by artificial intelligence and the standardisation of properties (units, standards, vocabulary);
- the listing of Grades and their anonymised proposal to Buyers;
- the assisted description of Projects and matching, i.e. the ranking of Grades against the requirements of a Project;
- the sending of Leads, their Unlock and the introduction of the parties;
- messaging between matched parties, with automatic translation;
- sample requests, offer requests, Offers and document sharing;
- information provided for guidance only (transport estimates, customs codes, duties, regulatory requirements, conversions of units, standards and currencies) where the Platform offers it;
- notifications by e-mail and within the Platform.
3.3 The rankings, weightings, comparisons, per-criterion verdicts and explanatory texts produced by the Platform are decision aids. They do not guarantee that a Grade is suitable for an application and constitute neither technical nor legal advice. The Buyer verifies the suitability of a material itself, in particular through samples and trials.
3.4 PolyMatch may change, add or remove features, and periodically recompute the Results of open Projects.
Article 4 — Conditions of access, eligible profiles and certification
4.1 An account may only be created by an adult natural person acting on behalf of a Company and authorised to bind it. The person who creates the company account declares that they hold this authority; the Company is bound by these Terms, by the Data Processing Agreement and by the acts of its Users.
4.2 Only the following profiles are eligible: the Supplier producing recycled material; the Converter Buyer; the Brand Owner Buyer. A Company may combine the Supplier and Buyer profiles (for example a compounder).
4.3 Traders, distributors, brokers, agents, marketplaces and intermediaries of any kind are excluded from the Platform, as is any company that does not itself physically produce or process the material, or does not have it processed on its own behalf as a Brand Owner. An ancillary trading activity does not give access to the Platform for materials that are not the company's own production.
4.4 At registration, the Company certifies its profile by an express declaration, recorded with its version and date. This certification is an essential condition of the contract. PolyMatch may at any time request supporting evidence (register extract, description of the activity, photos or a visit of a production site, certificates) and suspend the account in the meantime.
4.5 Every company account is verified by PolyMatch before activation. PolyMatch may refuse activation, or activate only one of the requested profiles, without having to give reasons. The contract is concluded upon activation of the account.
4.6 A false declaration of profile results in the immediate closure of the company account and of its Users' accounts, the loss of Credits and of sums paid without refund, the removal of the Grades and a ban on re-registration. PolyMatch may inform the Companies that were put in contact with the closed account.
4.7 The user account is personal. The User keeps their credentials confidential, does not share them and reports any unauthorised use without delay. Each User accepts these Terms when creating their account, including when joining a Company by invitation.
4.8 Technical requirements: a recent browser with JavaScript and the necessary cookies enabled, an Internet connection and a valid e-mail address. The Platform is designed for use on a computer; some functions are adapted to phones.
4.9 It is prohibited to provide unlawful content through the Platform.
Article 5 — Company account, Users, groups, contact address
5.1 The first User who creates the company account is its Administrator. The Administrator invites members, assigns them a role, removes them, manages the sites, the entities of the group, the subcontractors (for a Brand Owner), the documents, the subscription and the Credits. The Administrator may appoint other Administrators.
5.2 A Company organised as a group attaches its entities and their Users; group administrators access the entities they administer. A Match takes place at the level of an Entity.
5.3 The Company designates a contact e-mail address belonging to the Company, generic and not personal (for example info@ or sales@), separate from the personal addresses of its Users. This address receives Leads and contractual communications when no active User can receive them, including after all Users have left, for as long as the Company remains listed (Article 12.5). The Company keeps it up to date.
5.4 The last Administrator of a Company cannot delete their account without having appointed a successor or requested the closure of the Company (Article 12.2).
5.5 The Company warrants the accuracy of the information it provides (legal name, identification numbers, addresses, sites, certifications) and keeps it up to date.
Article 6 — Suppliers: technical data sheets, Grades, Leads
6.1 The Supplier uploads its technical data sheets and declares that it has the right to distribute them. The Platform extracts their properties by artificial intelligence and standardises them. The Supplier checks, corrects and validates each Grade before it is saved; the Supplier is solely responsible for the accuracy of the validated values, of the declared certifications and of their updating.
6.2 A saved Grade is proposed to Buyers in anonymised form: neither the name of the Grade nor that of the Supplier is revealed before the Unlock.
6.3 The Lead received by the Supplier contains the specification of the Project as entered by the Buyer (except its free-text fields), the volumes, the comparison between that specification and the Grade, and the country and region of the Buyer. The identity of the Buyer, its contact details and its precise address are not transmitted before the Unlock. The Supplier may unlock the Lead, refuse it stating a reason, or let it expire; a Lead without an answer is closed automatically at the end of its validity period of thirty days.
6.4 The Unlock costs the number of Credits set by the Price List according to the declared annual volume of the Project; this number is displayed before confirmation. The Unlock is final and non-refundable, including if the Project does not materialise, if the Buyer does not respond, if the actual volume differs from the declared volume or if the Buyer selects another Supplier. A Project gives rise to a single Unlock per Supplier, even where several of its Grades are concerned.
6.5 After the Unlock, the Supplier accesses the identity of the Buyer, its contact details, the whole Project, the delivery locations (including the subcontractors of a Brand Owner), the messaging, the sample and Offer requests. This information may be used only for that Project and may not be passed on to third parties.
6.6 The Administrator may assign a Lead to a User; access to the Lead is then limited to that User and to the Administrators. Notifications follow this assignment.
6.7 At the Unlock and afterwards, the Supplier chooses the documents it shares with the Buyer. A document already downloaded by the Buyer cannot be taken back.
6.8 The number of active Grades depends on the subscription (Price List). Grades beyond that number, and all Grades of a Supplier without a subscription, are inactive: they remain listed and proposed for matching, but with a less favourable ranking. The Supplier's engagement on the Platform (subscription, account activity) is one of the ranking criteria of the Results.
6.9 The Supplier may declare certifications and upload the corresponding certificates. PolyMatch checks the consistency of the uploaded documents with the declaration; it does not guarantee their authenticity. The level of evidence provided is taken into account in the Results.
6.10 Analyses by artificial intelligence (technical data sheets, photos, documents) are subject to a fair-use ceiling per Company, shown in the Platform. Beyond it, the Supplier contacts support.
Article 7 — Buyers: Projects, matching, selection
7.1 The Buyer describes its Project and declares accurate information, in particular the volumes, the technical requirements and the delivery locations. This information forms the specification transmitted to Suppliers.
7.2 The Platform proposes a weighting of the criteria which the Buyer checks and freezes before launching the matching. The Results present a limited number of anonymised Grades, ranked, with a verdict per criterion and a detailed comparison. Launching and re-running a matching, as well as displaying additional Grades, are subject to the conditions of the Price List.
7.3 Among the Results, the Buyer selects the Grades for which it requests an introduction, within the number included per Project, then beyond it in exchange for Credits up to the maximum set by the Price List. Sending the selection transmits the Lead to the Suppliers concerned. A place is freed when a Lead is refused or expires. Sending a selection is a serious step: the Buyer selects only Grades it intends to evaluate and replies, within a reasonable time, to the Suppliers that have unlocked the Lead. Abusive selections, or repeated selections without follow-up, fall under Article 14.
7.4 The identity of a Supplier and the name of a Grade are revealed only after the Unlock by the Supplier. The Buyer undertakes not to attempt to identify them by other means.
7.5 The Buyer may state the reasons for its choice; they are transmitted to the Supplier after the Unlock. After the Unlock, the Buyer uses the information received only for the Project concerned.
7.6 A Project without activity is archived automatically after the period indicated in the Platform; the Buyer is notified. Leads already unlocked remain accessible to both parties.
Article 8 — Messaging, Offers, samples, indicative information
8.1 Messaging opens between the parties to a Match. Messages are automatically translated into each reader's language by an artificial intelligence service; the original text is authoritative between the parties. A thread without any message or Offer for three months is archived and remains available for consultation.
8.2 An Offer is drawn up by the Supplier under its sole responsibility: price per packaging, quantities, Incoterm, currency, payment terms, validity period, attached documents. The Buyer sees only the final price. A sent Offer is frozen. The acceptance of an Offer by the Buyer on the Platform constitutes an agreement between the two Companies on its terms; PolyMatch is not a party to it and guarantees neither its performance nor its payment.
8.3 Sample requests and their follow-up take place on the Platform; shipping, trials and their outcome are the parties' responsibility.
8.4 Indicative information (transport estimates, customs codes and duties, regulatory requirements, conversions of units, ISO/ASTM standards and currencies, exchange rates) is provided without warranty and does not release the parties from their own verifications. Each party is responsible for the accuracy of the data it has entered (for example a customs code) and for the consequences of its inaccuracy.
Article 9 — Prices, Credits, subscriptions and payment
9.1 Prices are set out in the Price List, exclusive of taxes, in euros. PolyMatch may show certain prices in other currencies for guidance.
9.2 Credits are of three types: subscription Credits, granted each month and usable for six months; pack Credits, purchased individually or in batches, without expiry date; free Credits granted to Buyers each month, not carried over from one month to the next. Buyer and Supplier Credit wallets are separate. Credits are neither transferable, nor refundable, nor convertible into money, and are forfeited at the closure of the company account.
9.3 Supplier subscriptions are monthly and tacitly renewed. They may be cancelled at any time with effect at the end of the current period, without pro-rata refund. Downgrading to a lower tier makes the Grades beyond the new tier inactive.
9.4 During the launch period described in the Price List, certain services are free or unlimited. At its end, the Supplier chooses a subscription or continues without one under the conditions of Article 6.8; it is notified before the deadline.
9.5 Payment is made online through Stripe. PolyMatch does not store card data. The Company enters and keeps up to date its billing details (legal name, address, VAT number or tax number, billing e-mail) in My company before any purchase; they are reproduced as such on invoices. An electronic invoice is issued for each payment and accessible in the Platform. If a failed payment is not regularised within fourteen days, paid services are suspended and the Grades become inactive.
9.6 PolyMatch may change the Price List. Subscribers are informed by e-mail thirty days before the change takes effect; they may cancel before that date. Credits already acquired keep their value in use.
9.7 Prices are exclusive of VAT; VAT is applied according to the place of establishment of the Company and its intra-Community VAT number, in accordance with applicable law.
Article 10 — Content, licence and intellectual property
10.1 Each Company remains the owner of its Content.
10.2 The Company grants PolyMatch a non-exclusive, worldwide and royalty-free licence to host, reproduce, analyse (including by artificial intelligence), extract, standardise, translate, compare, rank, display (in anonymised form before the Unlock) and transmit its Content to the Companies it is put in contact with, and to incorporate the data derived from it into PolyMatch's database of Grades. This licence lasts for as long as the Content is listed, including after the end of the contract under the conditions of Article 12.5.
10.3 The Company warrants that it holds the necessary rights over its Content, that it is accurate and lawful, that it does not infringe the rights of third parties and that it does not contain personal data beyond what is necessary for the introduction of the parties.
10.4 The Platform, its code, its extraction and matching engines, its technical dictionary, its standardisation rules, its weighting profiles, its rankings, the texts it generates, its interfaces, the PolyMatch trade mark and the database of Grades are the property of PolyMatch, protected by copyright, trade mark law, the sui generis right of the database maker and trade secrets. The standardised properties derived from technical data sheets are elements of that database.
10.5 The Company receives a non-exclusive, non-transferable right to use the Platform, limited to its internal needs and to the duration of the contract. Results, comparisons and generated texts may be used internally and exported for the Project concerned; they may not be published, resold or communicated to third parties.
Article 11 — Prohibited uses
It is prohibited:
- to access the Platform by automated means (robots, scripts, scraping) or to extract data from it in bulk, outside any interface provided for that purpose;
- to copy, reproduce, decompile or reverse-engineer all or part of the Platform, its engines, its dictionary or its database, and to use the Platform or its data to design, train or feed a competing product or service;
- to extract or re-use a substantial part of the database of Grades, or non-substantial parts repeatedly and systematically;
- to share credentials, to create several accounts for one person or an account on behalf of a third party, or to declare an inaccurate profile;
- to circumvent the Unlock: to attempt to identify a Supplier or a Buyer from anonymised information, or to approach a party outside the Platform in order to avoid an Unlock;
- to use information obtained through a Lead, a Match, an Offer or the messaging for purposes other than the Project concerned, or to pass it on to third parties;
- to upload technical data sheets, certificates or documents of which the Company is not the author or does not hold the distribution rights, or which are falsified;
- to publish unlawful, misleading or defamatory content or content infringing the rights of third parties;
- to use the messaging for unsolicited messages or messages unrelated to the Project;
- to disrupt the Platform, to test its security without written authorisation or to circumvent its usage limits.
Article 12 — Term, termination and effects
12.1 The contract is concluded for an indefinite term.
12.2 A User may delete their personal account at any time from their settings. A Company may request its closure through one of its Administrators; PolyMatch processes it within thirty days. The current subscription ends at its expiry; the pro-rata and the Credits are not refunded.
12.3 PolyMatch may suspend or terminate the contract, in whole or in part, in case of breach of Articles 4, 10 or 11, non-payment, risk to the security of the Platform or of other Companies, request from an authority, or a substantiated report (Article 14). Except in urgent cases or in case of false declaration, PolyMatch states the reason by e-mail and allows fourteen days to remedy it where possible.
12.4 Upon deletion of a user account, the User's personal data is deleted under the conditions of the Privacy Policy; their acts in Projects, Leads, Offers and messages remain attached to the Company.
12.5 At the end of the contract or in the absence of a subscription, the Company's Grades, their technical data sheets and their standardised data remain listed and may continue to be proposed for matching and to generate Leads, sent to the Company's contact address (Article 5.3). The Company may at any time request in writing to contact@polymatch.eu the removal of all or part of its Grades; PolyMatch carries it out within thirty days. PolyMatch then retains the data necessary for evidence, accounting and security for the statutory periods. Content already transmitted to a Company put in contact (Matches, Offers, shared documents) remains accessible to that Company.
12.6 Articles 10, 11, 13, 15 and 17 survive the end of the contract.
Article 13 — Liability
13.1 PolyMatch is not liable for the Content, declarations, certifications, Offers, materials, prices, quantities, deliveries, payments or performance of contracts concluded between Companies. Each Company deals with the others under its sole responsibility and carries out its own verifications.
13.2 PolyMatch provides the Platform with reasonable means, without warranty of continuous availability, absence of errors, accuracy of automated extractions (which the Supplier validates), relevance of the Results, number of Leads or Matches, or conclusion of business. Interruptions for maintenance may occur.
13.3 To the extent permitted by law, the total liability of PolyMatch towards a Company, on any ground whatsoever, is limited to the higher of the following two amounts: the amount paid by that Company to PolyMatch during the twelve months preceding the event giving rise to the claim, or 500 euros. PolyMatch is not liable for indirect damage: loss of turnover, profit, customers, data or opportunity. These limitations do not apply to damage caused intentionally.
13.4 The Company indemnifies PolyMatch against any third-party claim related to its Content, its declarations or a breach of these Terms.
13.5 Neither party is liable for a failure due to force majeure.
Article 14 — Reports, complaints and unlawful content
14.1 Any Company may report a Buyer, a Supplier, a Grade or content, through the "Report" function of the Platform or by e-mail to contact@polymatch.eu: inaccurate profile declaration (trader, distributor), false information, abusive behaviour, unlawful content. The report states the subject, the reason and the supporting elements. PolyMatch examines it, may ask the reported Company for explanations and takes the appropriate measures: warning, removal of content, suspension, closure. PolyMatch informs the author of the report of the outcome and gives the reported Company the reasons for its decision.
14.2 Complaints relating to PolyMatch's services are sent by e-mail to contact@polymatch.eu, with the identification of the Company and a description of the problem. PolyMatch replies within fourteen days of receipt.
14.3 PolyMatch's single point of contact, for Users and for authorities alike, is contact@polymatch.eu. Communications take place in English, Polish or French.
Article 15 — Personal data
15.1 The processing of personal data by PolyMatch is described in the Privacy Policy.
15.2 For the personal data of third parties that the Company places in its Content (contacts of subcontractors or customers, persons named in documents or messages), PolyMatch acts as a processor under the Data Processing Agreement (Annex 1), accepted together with these Terms.
15.3 Each Company is a controller, within the meaning of the GDPR, of the personal data it receives from another Company through the Platform (contact details of counterparts after an Unlock). It uses them only for the Project concerned.
Article 16 — Amendment of the Terms
16.1 PolyMatch may amend these Terms for the following reasons: evolution of the services or of their organisation, change in the law or in a decision of an authority, security requirements, change of PolyMatch's legal form, correction of errors.
16.2 The new version is published on the Platform with its effective date and notified by e-mail to Users at least fourteen days in advance. At their first login after the notification, each User reads and accepts it in order to continue using the Platform. A Company that refuses the new version may terminate before it takes effect; a persistent refusal constitutes a request for closure. Amendments do not apply to Leads unlocked and Offers sent before they take effect.
16.3 Corrections that do not change the rights and obligations of the parties (contact details, typographical errors, presentation) take effect upon publication.
Article 17 — Final provisions
17.1 The contract is governed by Polish law.
17.2 Before any legal action, the parties seek an amicable settlement for thirty days from the written notification of the dispute. Failing that, the Polish courts having jurisdiction over PolyMatch's registered office have exclusive jurisdiction.
17.3 If a clause is held invalid, the other clauses remain applicable; the invalid clause is replaced by a valid clause of equivalent effect.
17.4 PolyMatch may assign the contract to a company it controls or that succeeds it in operating the Platform; Companies are informed. The Company does not assign the contract without PolyMatch's written consent.
17.5 Communications between PolyMatch and the Company take place by e-mail to the registered addresses and through the Platform's notifications. The Company agrees to receive through these channels the information necessary for the performance of the contract (Leads, Offers, messages, invoices, amendments). Commercial communications are sent only with its consent, revocable at any time.
17.6 PolyMatch's failure to enforce a breach does not constitute a waiver.
17.7 This document takes effect on 3 November 2026.
